Position Summary:
MarshBerry is currently seeking a Facilities Manager to be located in our Beachwood, OH office and manage facilities for our office locations across the U.S. The Facilities Manager will oversee the daily operations and maintenance of the company's facilities to ensure a safe, efficient, and productive environment for all MarshBerry office locations. This role involves managing a team, coordinating with vendors and contractors, and implementing best practices for facility management. The Facilities Manager plays a critical role in supporting the company's operations and maintaining a high standard of facility conditions.
Responsibilities:
Facilities & Team Management
- Maintain schedule of all current facilities related initiatives including items being worked on, future needs, and pending requests.
- Ensure facilities related responsibilities such as cleaning and maintenance tasks are assigned for each office location.
- Perform routine maintenance on facilities and making repairs as needed. Schedule routine inspections and emergency repairs with outside vendors.
- Provide regular updates to key stakeholders regarding the status of facility priorities. Lead regular facility meetings.
- Maintain updated location seating charts and work collaboratively with HR to allocate workspaces.
- Lead facilities team and ensure regular communication, coaching, training and feedback are provided.
Vendor & Budget Management
- Maintain a master schedule of all lease agreements, inclusive of all key lease terms.
- Ensure effective communication with all facilities related vendors, including landlords and real estate agents.
- Collaborate with Contracts Administrator to manage vendor relationships including identification, evaluation, and negotiation of contracts.
- Oversee the procurement of supplies and equipment for facility operations.
- Maintain a master list of all facilities costs, including preparation of annual budgets.
- Collaborate with building owners and management on budgeting for facilities’ needs.
- Identify opportunities for cost savings, better efficiency, or other improvements; recommend and implement policy or process changes as appropriate.
Health & Safety
- Monitor safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor spaces.
- Ensure proper security measures for the workplaces, including collaborating with security system vendors or a team of security professionals.
- Ensure workforce continuity, disaster recovery, and other emergency plans and procedures for all offices are in place and effectively communicated.
- Collaborate with HR and safety committee to execute on safety initiatives such as emergency tests, training, etc.
Selection Criteria
Education & Experience:
- Bachelor’s degree in business or related field.
- 7-10 years of facilities management, administrative services, or related field with 2+ years in a leadership role.
- Proficient in Microsoft Office including Word, Excel, Access, and PowerPoint and other applicable software.

- Demonstrated leadership experience: experience managing department workflows and resources and able to establish and maintain systems and priorities.
- Proactive problem-solving skills; identifies and resolves issues in a timely manner. Able to make appropriate decisions.
- Accountability: Ability to accept responsibility and be accountable for actions and conduct.
- Confidentiality: Maintains confidentiality of proprietary information as well as internal and external communication.

- Self-motivated: Self-starter with ability to prioritize make appropriate decisions.
- Ability to travel up to 15% of the time.
