Primary Purpose:
Provide administrative support to the Maintenance and Operations (M&O) team, serving as a central point of contact to address and resolve issues related to Maintenance, Custodial, Warehouse, and Grounds operations. Responsible for managing telephone inquiries, evaluating departmental problems, distributing work orders, and performing accurate data entry tasks.

Education/Certification:
Special Knowledge/Skills:
- Proficiency in typing, keyboarding, and file management
- Strong knowledge of English usage, grammar, spelling, and punctuation
- Competence in using personal computers and software for developing spreadsheets, databases, and word processing
- Ability to maintain composure, patience, and organizational control in a dynamic, high-priority environment with frequent interruptions
- Capacity to work extended periods on a computer while managing multiple tasks simultaneously
- Familiarity with basic accounting principles
Experience:
- Minimum of three years of experience as a dispatcher or in customer service, preferably within a public education setting
Licenses:
- Class “C” Operators Driver’s License. The applicant selected must provide a current three-year driving record from the current state of residence. If not, currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident
Major Responsibilities and Duties:
Records, Reports, and Correspondence:
- Process incoming work orders and emergency service requests
- Maintain both physical and electronic files, including preventive maintenance data and work orders
- Track work order statuses and generate labor reports
- Develop and manage departmental schedules
Telephone Management:
- Respond to incoming calls, relay messages, and direct inquiries to appropriate staff members
- Update department phone messaging as necessary
Accounting Support:
- Perform routine bookkeeping tasks, including basic arithmetic, to support departmental budget management
Data Entry:
- Input and manage work orders in the system
- Update staff information and maintain user accounts in the work order system
- Manage weekly agendas, minute notes, and quarterly newsletters
- Coordinate and maintain biannual “De-conflict” meetings
- Register visitors and contractors using the Raptor Control System
General Administrative Support
- Greet and assist visitors and callers, addressing their inquiries or directing them to the appropriate personnel
- Maintain positive relationships with the general public, addressing concerns promptly and courteously
- Perform additional duties as assigned while ensuring confidentiality is upheld at all times
Other:
- Follow district safety protocols and emergency procedures.

Posture: Prolonged sitting and use of computer terminal
Motion: Repetitive hand motions; load and operate computers, servers, storage, and other equipment

Environment: May travel to remote locations within the district
Mental Demands: Maintain emotional control under stress; may have voluntary and/or required working hours during the evenings and/or weekends. Reading; ability to communicate effectively (verbally and in writing)

Pay: $20.50 - $28.90 per hour
