Director of Operations and Marketing
Overview: ATX Chamber Music and Jazz (ATX Music) seeks a passionate, proactive, organized, and community-minded Director of Operations and Marketing to assist with all aspects of the organization’s operations. Ideal candidates will excel in a fast-paced environment, handle multiple responsibilities, and possess excellent communication skills to represent the organization publicly.
Key Responsibilities:
Administrative:
- Schedule and coordinate meetings with staff and collaborators.
- Assist with artist logistics, including travel, ground transportation, and accommodations.
- Coordinate with venues and oversee event logistics.
- Supervise interns and manage their work.
- Support educational and community outreach initiatives (scheduling, communications).
- Manage the production and distribution of brochures, posters, and playbills.
- Provide general administrative support throughout the concert season.
- Collaborate with contractors such as recording engineers, event planners, and graphic designers.
- Maintain and update Notion and Google Drive.
Grant Writing & Fundraising:
- Represent ATX Music professionally and passionately to promote its mission.
- Assist in preparing and submitting funding proposals and reports.
- Help draft the annual report.
- Solicit corporate sponsorships.
- Negotiate discounts with vendors.
Marketing & Communications:
Communications:
- Develop and implement strategic communications for the concert season, ensuring consistent messaging.
- Write and distribute newsletters and press releases.
- Schedule interviews with radio and TV hosts.
- Coordinate with the graphic designer for ad content and customer communications.
Social Media:
- Manage ATX Music’s social media accounts (Facebook, Instagram, X), increasing visibility and engagement.
- Oversee paid social media ad campaigns, including design and scheduling.
Advertising:
- Develop and execute a marketing plan across online/print platforms, event calendars, and social media.
- Research potential collaborations with media, vendors, and businesses.
- Prepare graphic design briefs and communicate with the designer.
Copywriting:
- Write press releases for season announcements, individual events, and special occasions.
- Assist with copywriting for event descriptions, website content, newsletters, and other marketing materials.
Operations:
Event Planning:
- Assist with conceptualizing the interior design of concert venues.
- Identify and secure vendors/sponsors for furniture and decorative needs.
- Coordinate vendor communication, delivery, setup, and breakdown on event days.
- Recruit and manage volunteers for event support.
- Handle transport of supplies/equipment from storage units.
- Coordinate seating arrangements when needed and prepare "reserved" seating as necessary.
- Take responsibility for pre-concert needs, especially when Artistic Directors (ADs) are performing.
- Attend to VIP guests during concerts.
- Ensure only ticketed guests are allowed into events.
Artist Support:
- Assist in gathering artist photos, bios, itineraries, contracts, W9s, and travel details.
- Assist in managing artist logistics.
Collaboration with Artistic Directors (ADs):
- Work closely with ADs on all aspects of the organization
- Attend weekly planning meetings (via Zoom).
General:
- Take on additional tasks as needed to ensure artistic excellence, smooth operations, and financial stability.
Requirements:
- Bachelor’s degree required. Graduate level education preferred.
- Three or more years administrative and marketing experience preferred, or equivalent combination of education, training, and experience
Position Details:
- Reports to: Artistic Directors of ATX Chamber Music and Jazz
- Appointment: Full-time position, renewable yearly (Contracts renew each June)
- Compensation:
- Base Salary: $60,000-$70,000 (depending on qualifications)
- Retirement: Up to 5% match of employee contributions
- Healthcare: $350 monthly QSEHRA reimbursement
- Work Schedule:
- Averages 40 hours per week, with extended hours (including weekends) around concerts and outreach events
- Regular working hours: 9 AM - 5 PM, Mon-Fri (non-event days), with extended hours during event weeks. One evening meeting per week.
- Remote work: 85%+, with onsite presence required for concerts and community events.
Vacation: 15 paid vacation days + national holidays. Vacation requests should be submitted one month in advance and are generally not available during concert weeks or two weeks before the season announcement.

Pay: $60,000.00 - $70,000.00 per year
