Position Overview:
As a Plumbing Dispatcher, you will be the pivotal point of contact between our customers and plumbing technicians. You will handle incoming service requests, schedule appointments, and ensure that our technicians are dispatched efficiently. Your organizational skills and customer service expertise will be crucial in maintaining a smooth workflow, optimizing technician routes, and ensuring timely service delivery.
Key Responsibilities:
- Customer Interaction:
- Respond to incoming calls, emails, and messages from customers requesting plumbing services.
- Provide accurate information about services, pricing, and appointment availability.
- Address customer inquiries and concerns with professionalism and empathy.
- Utilize active listening skills to understand customer needs and provide appropriate solutions.
- Scheduling and Dispatching:
- Efficiently schedule appointments for plumbing technicians based on customer needs, job complexity, and technician availability.
- Optimize dispatch routes to minimize travel time and maximize productivity.
- Monitor the daily schedule and adjust as necessary to accommodate emergency calls or rescheduling requests.
- Keep track of service completion times and ensure technicians are adhering to their schedules.
- Communication:
- Maintain clear and consistent communication with technicians regarding job assignments, customer preferences, and any special instructions.
- Relay important updates or changes to both customers and technicians in a timely manner.
- Act as a liaison between customers and the management team, providing feedback and recommendations for service improvements.
- Administrative Support:
- Update and maintain accurate records in the dispatch system, including service requests, job statuses, and technician notes.
- Generate daily, weekly, and monthly reports to track service metrics, technician performance, and customer satisfaction.
- Assist with billing inquiries and ensure that invoices are processed accurately.
- Collaboration:
- Work closely with management and plumbing technicians to enhance service delivery and operational efficiency.
- Participate in team meetings to discuss challenges and brainstorm solutions.
- Assist in training new dispatchers and support team members as needed.
Qualifications:
- High school diploma or equivalent; additional coursework or training in dispatching, customer service, or business administration is a plus.
- Proven experience in a dispatch or customer service role, preferably within the plumbing, HVAC, or construction industry.
- Strong understanding of plumbing services and terminology is a plus but not required; we will provide training.
- Excellent communication and interpersonal skills, with a focus on customer service excellence.
- Strong organizational and multitasking abilities, with a keen eye for detail.
- Proficiency in computer software and dispatching systems; experience with scheduling software (e.g., ServiceTitan, Jobber) is a plus.
- Ability to work in a fast-paced environment and adapt to changing priorities while maintaining a positive attitude.
