The ideal candidate will ensure efficient communication and accurate records for quotations, orders, and client interactions. You'll collaborate closely with Account Managers, manage paperwork, and contribute to a smooth workflow.
RESPONSIBILITIES
- Handle the coordination of quotations, including gathering the necessary information and preparing accurate quotes for clients.
- Manage order entry and tracking processes to ensure timely and accurate fulfillment of client orders.
- Act as the central point of contact for Account Managers, prospects, clients, teammates, and suppliers, handling incoming calls and inquiries effectively.
- Assist in completing purchase orders (POs) for invoices and maintain proper documentation.
- Collaborate closely with Account Managers to fulfill their commitments to clients, which may include tasks like ordering lunches, creating proposals, and database entries.
- Ensure all required paperwork is collected and signed by clients before dispatching crews to job sites.
- Collaborate with the invoicing administrator to create and maintain customer profiles and accurate billing records.
- Prepare and submit proposals according to company and client policies.
- Monitor and update Certificates of Insurance (COI) for various locations, submitting new information as needed.
- Research and contact third-party vendors, coordinate with team members, order supplies, create and manage POs, and see tasks through to completion.
- Maintain accuracy in forecasting upcoming jobs and enter all relevant information into the system.
- Assist with miscellaneous printing tasks, such as moving numbers, plotting CAD drawings, and managing various documents.
EXPERIENCE, EDUCATION, AND SKILLS REQUIRED:
- High School Graduate
- Ability to multi-task and prioritize.
- Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Problem-solving capabilities: Ability to adjust thought processes to resolve uncommon issues.
- Furniture experience a plus
