We are currently seeking a detail-oriented and proactive individual to join our team as a Commercial Service Hvac Administrator.
Job Description:
The Commercial Service Hvac Administrator/Dispatcher plays a crucial role in supporting our commercial plumbing operations.
You will be responsible for managing administrative tasks, coordinating service requests, and ensuring smooth communication between our clients, technicians, and management team.
Key Responsibilities:
- Administrative Support:
- Manage phone calls, emails, and inquiries related to commercial Hvac services.
- Schedule service appointments and dispatch technicians efficiently.
- Maintain accurate records of service requests, work orders, and client information.
- Prepare invoices, quotes, and other administrative documents as needed.
- Customer Relationship Management:
- Build and maintain positive relationships with clients, addressing their inquiries and concerns promptly and professionally.
- Communicate effectively with clients to schedule service appointments and provide updates on service progress.
- Follow up with clients to ensure satisfaction and address any post-service issues.
- Coordination and Communication:
- Coordinate with technicians to schedule and prioritize service calls based on urgency and client needs.
- Ensure timely communication between technicians, clients, and management regarding service appointments, delays, and other relevant information.
- Collaborate with the management team to optimize service efficiency and improve customer experience.
- Documentation and Reporting:
- Maintain organized documentation of service records, including work performed, materials used, and client feedback.
- Generate reports on service activities, including service call volume, response times, and client satisfaction metrics.
- Assist in analyzing data and identifying areas for improvement in service delivery processes.
Qualifications:
- Previous experience in administrative or customer service roles, preferably in commercial HVAC or construction industry.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
- Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
- Proficiency in office software, including Microsoft Office (Word, Excel, Outlook) and experience with scheduling software or CRM systems is a plus.
- Knowledge of plumbing terminology and basic technical understanding is preferred but not required.
- Ability to work independently and collaboratively in a fast-paced environment.
