This role will oversee the coordination of HVAC projects, ensuring a smooth process from scheduling to completion. This is a dynamic position that requires someone who is an early bird, ready to start around 7 AM, not afraid of hard work with many moving parts, and a fast learner with exceptional multitasking abilities.
Key Responsibilities
- Customer Coordination: Work directly with customers to schedule project start times and provide updates throughout the installation process.
- Project Monitoring: Track project progress to ensure timely completion and address any issues that arise.
- Parts Management: Order necessary parts and materials for each project to maintain workflow efficiency.
- Dispatching: Perform dispatching duties to coordinate with installation crews, ensuring efficient scheduling and routing.
- Payment Collection: Handle the collection of payments from customers in a professional and efficient manner.
- Team Collaboration: Conduct regular check-ins with crews to monitor progress, resolve issues, and foster teamwork.
- CRM Proficiency: Utilize CRM platforms like Service Fusion or Service Titan to manage project details and communications.
- Permits: Handle the pulling of necessary permits for installation projects.
- Customer Service: Professionally manage interactions with irate or dissatisfied customers to resolve concerns effectively.
- Communication: Build rapport and maintain regular contact with subcontractors to coordinate scheduling, resolve issues, and ensure timely project completion.
- Administrative Support: Assist with administrative functions related to the Installation or Service departments as needed.
Requirements
- A minimum of 3 years of experience in dispatching and customer service, preferably in a related industry.
- HVAC industry experience is highly preferred.
- Proven experience working closely with field technicians to support operations.
- Familiarity with dispatching and CRM software like Service Fusion or Service Titan is a plus.
- Strong multitasking abilities with the ability to handle many moving parts simultaneously.
- A fast learner who can quickly adapt to new tools, systems, and processes.
- Flexibility to pivot tasks at a moment’s notice and thrive in a dynamic environment.
- Professionalism and composure when dealing with challenging customer interactions.
