Pay: $80,000 - $90,000 annually
Position Summary:
The Property Manager is responsible for the daily operations of a portfolio of buildings that may consist of office/medical flex, industrial and retail assets. The primary responsibilities of the Property Manager are to manage the assets in an efficient and cost-effective manner while ensuring utmost tenant satisfaction. Additionally, the property manager strives to keep expenses low while properly maintaining the building in order to increase portfolio NOI and overall building value. The Property Manager works with the Director of Property Management to make sure that all contracts and lease information are kept up-to date and works with Asset Management and Accounting to ensure that acquisitions are on-boarded as seamlessly as possible.
Key Measures for Success:
· Manage the daily operations of properties, maintenance vendors, and contractors to ensure properties are maintained in accordance with company standards and agreements.
· Prepare monthly owner reports for assigned properties including narratives and budget variance reporting using established procedures by the 25th of the month.
· Review all new leases and abstract them into accounting software systems, update renewals and amendments as generated to maintain lease obligations.
Essential Functions and Responsibilities
· Manage tenant-focused relationships and processes that meet or exceed building occupant expectations.
· Anticipate tenant needs, and consistent with expense parameters, assure positive and prompt response to service requests and administer affairs for the mutual benefit of the tenants and the property NOI.
· Create value-add recommendations for assets to increase overall NOI.
· Manage administration, including building engineering and property management team members to develop skillsets and foster a positive work environment.
· Possess excellent customer service skills, have a positive attitude and be flexible and creative in solving client issues.
· Possess an entrepreneurial spirit by looking at assets managed from the perspective of an owner.
· Use established procedures for: approval of property payables, (including building improvement, TI and new construction); tracking rent collections, sending notices and assessing late fees as needed.
· Negotiate service agreements, select contractors and suppliers, provide quality-control oversight, measure compliance to contractual standards and provide liaison as needed between tenants and third-party service providers.
· Assist Accounting and Asset Management with creation of annual property budgets and Common Area Maintenance Expense Estimates in Excel and in accounting software for various property types.
· Assist Accounting in preparation and review of annual Common Area Maintenance Reconciliations
· Process new Leases and document terms with completion of Lease Abstracts through our standardized processes.
· Create monthly Asset Management reports detailing ongoing operations, accounting, and capital expenditures. Set up recurring meetings with portfolio Asset Manager to review reports and identify action items.
· Perform regular and ongoing inspections and creating Capital Expenditure budgets on 3 and 5-year basis with emphasis in the following areas: Roof, HVAC, ADA and Government Compliance, Elevators, Landscape and Site Improvements, Parking Areas
· Supervise the planning, budgeting and control of operating and capital expenditures including tenant improvements; ensure project(s) are staying within budget and/or charge back tenant for change orders.
· Ensure Lease compliance from Tenants by performing routine and ongoing tenant visits.
· Participate in the acquisition due diligence process by coordinating PCA and Environmental assessments.
· Work with Director or Property Management and Asset Management to ensure that Asset Management Plans are being followed; proactively monitor property performance, perceive risks and act to achieve objectives.
· Availability for on-call emergencies days, evenings and weekends.
Required Knowledge/Skills/Abilities/Attributes:
· High attention to detail and able to focus with frequent interruptions
· Strategic mindset and strong analytical and problem-solving abilities.
· Experience in a supervising role while managing building and administration staff.
· Ability to work independently with minimal supervision.
· Commercial Real Estate Management Experience.
· Proficiency in different systems including Microsoft Office (especially Excel), Outlook, Teams, Monday.com, CRM’s, Yardi Elevate, Commercial Café and Vendor Cafe.
· Ability to interact with existing tenants, vendors, and key stakeholders in a kind, professional, and prompt manner.
· Extensive financial knowledge is required, with the ability to create Reconciliation and budget proformas
· In-depth knowledge of lease administration including base years, triple nets, reconciliations and abstract process.
Required Education/Experience:
· 5 + years related commercial property management experience required
· High school diploma required; Bachelor’s degree preferred
· CPM and/or RPM preferred
Expected Hours:
· Monday – Friday, 9:00 am to 5:00 pm
· Must be able to travel to multiple property sites on a regular basis.
· Some evening and weekend work may be required as well
