Job Description – includes but is not limited to:
- Experience remotely managing multiple commercial properties, mainly retail, via hiring for property inspectors, landscapers, and multiple vendors for various repairs (i.e., fencing, roofing, plumbing, electrical, painting, etc.).
- Ensure all vendor reports (i.e., inspections) are complete per contract SOW and identify and timely resolve any action items resulting from any pictures or reports provided by vendors.
- Timely follow up with each vendor until inspections and/or repairs are completed to satisfaction.
- Manage Camelot’s work order system including adding/changing newly assigned properties and timely dispatching work orders.
- Ensure all pertinent documentation is timely entered, recorded and/or uploaded in Camelot’s work order system as required.
- Always manage tenant and vendor relationships in a professional manner.
- Resolve tenant/occupant issues timely.
- Provide timely and accurate communications with your assigned clients.
- Effectively manage incoming calls regarding various issues, dispatch vendors as needed for routine/urgent and any emergency work per client requirements.
- Timely solicit and engage vendor services for property maintenance.
- Ensure prompt and accurate preparation and collection of executed contracts/letters of agreement and current certificates of insurance for contractors/vendors.
- Ensure to collect client approvals prior to work being performed on each site, as required by client.
- Establish and maintain vendor files per Camelot’s and/or assigned clients’ requirements.
- Write effective correspondence on various matters pertaining to your portfolio.
- Update and prepare monthly reports as required by each client.
- Code all invoices, purchase orders, etc. and upload into payables system(s).
- Prepares invoices for items to be billed back to clients/vendors.
- Perform administrative tasks as needed or requested.
- Timely review and close work orders.
- Timely and accurately assemble monthly reporting and billing.
- Other duties as assigned by Company and/or Client.
Requirements:
- High school degree or equivalent is required.
- Commercial Real Estate experience is required.
- Bachelor's degree preferred.
- Professional experience is preferred.
- Must be a self-starter & must be able to multi-task.
- Proficient with follow up and follow through procedures.
- Proficient with MS Outlook, Word, Excel, Power Point and Adobe Acrobat/Reader.
- Ability to learn new software programs.
- Detail-oriented and extremely organized.
