Our AI software takes and books leads, and we are looking for a talented Lead Coordinator to join our dynamic team on a part-time basis to monitor incoming leads and manage human tasks related to booking.
Job Summary: We are seeking a highly organized and tech-savvy Lead Coordinator to oversee the incoming leads handled by our AI software, ensure efficient scheduling, and maintain effective communication with customers. The ideal candidate will play a crucial role in maximizing sales opportunities and ensuring our customers receive the best service possible.
Key Responsibilities:
- Lead Monitoring:
- Monitor all lead sources (phone, email, website, social media, referrals) processed by our AI software.
- Ensure the accuracy and completeness of lead information entered by the AI system.
- Oversee the lead flow and ensure timely follow-up on all leads.
- Scheduling:
- Verify and confirm appointments booked by the AI system with customers.
- Handle any rescheduling and cancellations promptly, ensuring all updates are reflected accurately.
- Coordinate daily schedules for HVAC technicians, ensuring optimal efficiency.
- Customer Communication:
- Respond to customer inquiries professionally and promptly.
- Provide detailed information about services offered, pricing, and appointment availability.
- Send service reminders and conduct post-service follow-ups.
- Reporting:
- Prepare and submit daily and monthly lead and appointment reports.
- Present performance findings and suggest areas for improvement.
- Continuous Improvement:
- Participate in regular training sessions.
- Collect and analyze feedback from customers and technicians to identify areas for process improvement.
Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Proven experience in a customer service or administrative role, preferably in the HVAC industry.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in CRM software (e.g., ServSuite) and Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Tech-savvy with experience using AI tools and software.
Work Hours:
- Part-time position with flexible hours, ideally 20-25 hours per week. Schedule to be determined based on business needs and candidate availability.
