Overview:
We are looking for an Operations Manager to join our team and help us ensure efficiency and effectiveness in our daily operations and customer service. You will be responsible for overseeing dispatch management, workforce management, inventory auditing, daily accounts receivable (AR) oversight, fleet auditing, Location Admin management, and customer concern resolution. You will also act as a role model, representing our company and values to our customers, employees, and partners.

Job Summary:
The Operations Manager will oversee daily operations, ensuring efficiency and effectiveness in dispatch management, workforce management, inventory auditing, daily accounts receivable (AR) oversight, fleet auditing, location admin management, and customer concern resolution. This role is pivotal in maintaining the high standards and operational excellence of Call Dad.
Key Responsibilities:
- Dispatch Management: Manage the dispatch team and ensure optimal allocation of resources and coordination of schedules. Monitor and evaluate the dispatch performance and provide feedback and coaching. Ensure compliance with all safety and quality standards and regulations.
- Workforce Management: Manage the workforce planning and scheduling, ensuring adequate staffing levels and optimal utilization of resources. Monitor and evaluate the workforce performance and provide feedback and coaching. Ensure compliance with all labor laws and regulations.
- Inventory Auditing: Manage the inventory auditing process, ensuring the accuracy and completeness of inventory records and reports. Identify and resolve any inventory discrepancies and issues. Ensure compliance with all inventory policies and procedures.
- Daily AR Oversight: Manage the daily AR Audit process, ensuring timely and accurate invoicing and collection of payments. Work with the appropriate individuals to identify and resolve any AR issues and disputes. Ensure compliance with all AR policies and procedures.
- Fleet Auditing: Oversee the fleet auditing process, working with the appropriate individuals to ensure proper maintenance and inspection of vehicles and equipment. Update vehicle tracking using our GPS tracking system
- Location Admin Management: Monitor and evaluate the Location Admin performance and provide feedback and coaching. Ensure compliance with all office policies and procedures.
- Customer Concern Resolution: Work with the Head of Customer Experience and Marking to ensure prompt and satisfactory resolution of customer complaints and issues. Track customer complaints via the Customer Complaint spreadsheet, ensuring every situation is resolved to the customer’s expectation. Utilize data regarding customer behavior, feedback, and satisfaction, and use data and insights to drive ongoing improvement and innovation.
Qualifications:
- 5 Years of experience in HVAC operations management.
- ServiceTitan experience, or some other comparable CRM experience.
- Strong leadership and team management skills.
- Excellent organizational and problem-solving abilities.
- Effective communication and interpersonal skills.
- Proficiency in using operations management software and tools.
