Are you a detail-oriented professional with expertise in HVAC operations and a talent for coordinating schedules and resources? We're in search of a Lead HVAC Dispatcher/Administrator to oversee our HVAC dispatch operations and administrative tasks. This role requires a skilled individual capable of managing logistics, optimizing schedules, and ensuring seamless communication between our team and clients.
Responsibilities:
- Dispatch Management: Coordinate HVAC service calls by efficiently scheduling and dispatching technicians based on expertise, location, and urgency.
- Administrative Support: Handle administrative tasks such as invoicing, data entry, and maintaining service records accurately.
- Communication Liaison: Act as a point of contact between customers and HVAC technicians, ensuring clear and timely communication to meet service expectations.
- Team Coordination: Support HVAC technicians by providing necessary information, schedules, and directions to optimize service delivery.
- Process Improvement: Identify and implement strategies to enhance dispatch efficiency, minimize downtime, and improve overall service quality.
Requirements:
- HVAC Knowledge: Strong understanding of HVAC systems, terminology, and service requirements is preferred.
- Dispatch Experience: Proven experience in dispatching, scheduling, or coordinating in a service-related industry.
- Customer Service: Provides exceptional customer service, conflict management and de-escalation, and practices a “Customer First” attitude
- Organizational Skills: Excellent organizational abilities with attention to detail and the ability to prioritize tasks effectively.
- Communication Proficiency: Strong verbal and written communication skills to interact with customers, technicians, and internal teams.
- Problem-Solving Ability: Ability to troubleshoot and resolve operational challenges promptly and effectively.
- Tech Proficiency: Comfortable using software for scheduling, dispatching, and administrative tasks.
