MAINTENANCE SUPERINTENDENT
JOB DESCRIPTION
The Maintenance Superintendent’s immediate supervisor is the Site Manager. It is the Maintenance Superintendent’s responsibility to work closely with the Site Manager and or management staff to ensure any and all required or requested work is carried out and completed in a professional manner within the time frame requested by management.
The Superintendent must have basic knowledge and some experience in plumbing, electrical, carpentry, HVAC, janitorial, stripping & waxing floors, reconditioning of vacant units and grounds for curb appeal. The Superintendent must know how to supervise, implement procedures, organize and set up a maintenance department and relate to contractors. The duties and responsibilities of the Maintenance Superintendent include, but are not limited to:
- Assisting the Site Manager in selecting well-qualified and capable maintenance personnel to recommend for hiring.
- Assisting the Site Manager in the evaluation of all maintenance personnel.
- Provide recommendations to the Site Manager when termination of maintenance personnel may be needed when staff is not performing their duties in an efficient, professional, conscientious and capable manner. Assist Site Manager by notifying management when notations to employee personnel files are needed and provide written reprimands. When providing recommendations and or reprimands, make sure the personnel manual is followed.
- Keeping management updated on employee work progress or issues/problems with employees.
- Assisting the Site Manager in making purchases for the property. Prices will be checked frequently. Purchases will be made within budget guidelines and as directed and approved by the Site Manager or upper management.
- Directing and training subordinate employees. Schedule regular and non-routine work assignments. Following up on the work assigned to subordinates to assure the work is professionally performed.
- Performing electrical repairs on items such as appliances, fixtures, switches, outlets circuits, etc.
- Performing plumbing repair work such as clearing stoppages, unclogging toilets, replacing fittings, cleaning out drains etc.
- Notify management when an outside contractor may need to be contacted. An outside contractor may be recommended once maintenance has inspected and assess the situation to determine the work that is needed is something that maintenance cannot do or is required by a licensed or certified company.
- Supervise the policing of all grounds including, but not limited to grounds, parking lots, bushes, shrubbery, and around dumpsters. Dumpsters must be cleaned and sanitized once a week during the summer months.
- Meetings with on-site management to discuss issues and/or plans for extraordinary work needed on property.
- Notify on-site management immediately of any problems that may affect the peaceable living conditions of residents or that may cause harm, damage or liability to residents, property owner, agent or any other involved party.
- Coordinating and participating in the on-call emergency schedule for evenings, weekends and holiday coverage.
- Controlling inventory and use of maintenance materials. Also submit written updated inventory reports bi-annually. (Every January and July of each year)
- Prepare and update written chargeable list for supplies & materials. List to be updated every January, April, July and October of each year.
- Assisting the Site Manager in scheduling and conducting annual apartment inspections.
- Assuring that apartments are reconditioned in a timely manner prior to preoccupancy. Vacant units must be reconditioned within 3 to 5 days. Reconditioning includes, but is not limited to painting vacant units, replacing tile floors, shampooing carpets, cleaning bathrooms, cleaning windows, cleaning fixtures, installing GFI’s, replacing sockets, installing screens if needed or cleaning screens, cleaning kitchen cabinets, repairing or replacing bottom center boards in cabinets, cleaning refrigerators, replacing gaskets, shelves, etc. in refrigerators, cleaning stoves, cleaning or replacing drip pans in stoves, replacing knobs on stoves, install burnt out light bulbs in stoves, refrigerators and light fixtures. Inspect and maintain smoke detectors, carbon monoxide detectors, vents, and circuit boxes. Inspect and maintain door bells to in incur they are operating properly. Mop and wax all tile floors.
- Keeping accurate records in regards to preventive maintenance schedules, work order assignments, apartment reconditioning, annual inspections, inventories, purchase orders, etc.
- Scheduling routine maintenance on all equipment/machinery based on manufacturers’ recommendations and operating manuals.
- Being knowledgeable of water and gas cutoff, all apartment and fixture cutoffs, sewer cleanouts, and posting map of same.
- Service all sidewalks and parking lots for snow removal. Snow removal is to begin when an accumulation of 2’’ of snow has fallen. During below zero temperatures are in affect or when freezing occurs, the sidewalks and parking lots must be service to avoid residents, guests or staff from injuries from possible slip and falls. All maintenance staff is to report to work at the designated time scheduled by the Superintendent or on-site management.
