Job Description
We are seeking an organized and detailed-orientated HVAC Installation Coordinator to support our HVAC installation processes. The role involves ordering equipment, scheduling installations, filling for rebates and warranties, and assisting Service Manager, Install Manager, and or Supervisor. The successful candidate will have excellent organizational skills and the ability to manage multiple tasks and deadlines. The install coordinator will have their own work laptop and cell phone.
Responsibilities
- Coordinate the installation schedule with clients and the internal team to ensure efficient service delivery.
- Order all necessary equipment and materials required for installations in the absence of the Install Manager/Service Manager ensuring they arrive on time for scheduled installations.
- Liaise with vendors and suppliers to ensure timely delivery and resolve any potential issues.
- Handle all paperwork related to the installations, including filing for rebates and warranties and completing them by the deadline.
- Assist the Managers / Supervisor with daily tasks and administrative duties.
- Maintain records of all installations and orders, ensuring data accuracy.
- Facilitate communication between installation technicians, sales team, and clients to ensure a smooth installation process.
- Coordinate with Warehouse Manager/Associate for staging jobs for lead installers/technicians.
- Assist with high volume phone when necessary.
- Follow up with happy calls after all installs and jobs performed by technicians and the install team.
Qualifications:
- High School Diploma or equivalent required. Further education or certification in HVAC, business management, or related fields will be a plus.
- Previous experience in a similar role within the HVAC industry preferred.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- Proficient in Service Titan, computer software, including MS Office, and any industry-specific software.
- Knowledge of HVAC equipment, parts, installation processes, and associated paperwork like rebates and warranties.
- Ability to work independently and as part of a team.
- Ability to problem-solve, negotiate, and handle issues effectively.
- Strong attention to detail and high level of accuracy in work.
- Bilingual (Spanish) speaking preferred

Job Type: Full-time
Pay: Up to $45,760.00 per year
