About The Role
This position is primarily responsible for ensuring a smooth and efficient operation of our office environment while playing a central role in cultivating a positive workplace.Due to the nature of this position, this role works onsite 5 days a week.
Ways You Will Contribute to Our Collective Success
- Oversee all aspects of office and facilities management, including but not limited to: space planning, maintenance, cleaning, landscaping, and pest control services, equipment maintenance, and security.
- Serve as the primary point of contact for visitors to the office and ensure a friendly, personal experience.
- Coordinate internal and external resources, and cultivate relationships with vendors, verify work orders are tracked and completed within approved budget/scope; audit and approve billing to authorize limits.
- Cultivate strong relationships with vendors and negotiate office supplies, equipment, and services contracts.
- Plan, develop and monitor budgets and project status for facilities maintenance, renovations, and improvements.
- Act as liaison to public utility, environmental, energy agencies, and any agency requiring inspections for our building.
- Oversee and direct maintenance personnel and workers engaged in equipment installation, facilities equipment repair, and preventive maintenance.
- Develop and maintain maintenance policy and procedures that ensure the optimal functioning of buildings, grounds, and associated equipment.
- Provide annual review of vendor contracts to ensure best pricing and quality available.
- Propose, coordinate and execute building/space needs for our teams; including but not limited to redesign of facilities to processing requested office moves.
- Maintain office supply and kitchen inventory by checking stock, anticipating needed supplies, placing orders for supplies, and verifying receipt of supplies.
- Oversee the general tidiness and cleanliness of the office space.
- Handle incoming and outgoing mail and packages.
- Create and maintain safety guidelines related to potential security issues affecting our property.
- Primary contact for office/facility needs, and emergencies (i.e. weather, fire, other hazards, etc).
- Monitor weather events and complete inspection of property after any weather event before employees return to the office.
The Background and Experience You Need to Support Success
- Bachelor's Degree (B.A.) from four-year college or university; four plus years related experience and/or training; or equivalent combination of education and experience.
- To perform this job successfully, an individual has highly proficient computer skills: Windows, MS Office (Word, Excel), Google Workplace (Docs, Sheets, Gmail, Drive) .Must have a positive attitude and a genuine passion for fostering a thriving workplace culture
- Experienced office and facilities management professional which includes working with 3rd party vendors, managing vendors, handling office supply and equipment contracts, being point of contact for all onsite guests
- Proactive self-starter, independently identifying ways to assist.
- Must be detail-oriented and work effectively under pressure while meeting all applicable deadlines.
- Good organizational skills and the ability to multitask, prioritize tasks, and adjust to sudden changes in work priorities as requirements dictate
- Attention to detail and extreme care in performing tasks accurately and carefully are also essential.
- The ability to be discreet, trustworthy, and maintain confidentiality of sensitive, privileged and proprietary information (both internally and externally) are essential elements of the Paralegal function of this role.
- Must be able to work independently and productively with minimum supervision.
