Responsibilities for the HVAC Service Dispatcher / Account Manager position includes:
- Receive incoming service requests and inquiries from customers and assess their HVAC needs.
- Schedule HVAC technicians for service calls, installations, and maintenance based on availability, skills, and customer requirements.
- Communicate effectively with technicians to ensure timely arrivals, efficient job assignments, and necessary equipment and materials.
- Coordinate with customers to provide them with accurate arrival times and keep them informed about any delays or changes.
- Prepare invoices in Fireline.
- Maintain accurate records of service calls, technician availability, and job progress.
- Prioritize emergency service requests and dispatch technicians appropriately.
- Collaborate with the service team to optimize scheduling and ensure efficient resource allocation.
- Assist in managing inventory levels of HVAC parts and equipment.
- Provide excellent customer service by addressing customer inquiries, concerns, and feedback.
- Utilize dispatching software and tools effectively to streamline operations.
Requirements for the HVAC Service Dispatcher / Account Manager position includes:
- High school diploma or equivalent (additional education or certifications in HVAC field a plus).
- 2-4 years previous HVAC/Plumbing/Refrigeration service dispatch experience is preferred
- Strong organizational skills with the ability to multitask and manage a high volume of service requests.
- Excellent communication skills, both written and verbal.
- Proficiency in using dispatching software and other relevant tools. Fireline & QuickBooks experience is preferred.
- Ability to remain calm under pressure and make quick decisions in emergency situations.
- Knowledge of HVAC, plumbing, refrigeration systems, terminology, and service processes (preferred).
- Customer-oriented mindset and a commitment to delivering exceptional service.
