We are currently seeking a Marketing Admin Assistant to support our Marketing and Business Development team in their day-to-day activities at our main office location..

Position Overview:

The Marketing Admin Assistant will support our team and assist with various tasks related to marketing and business development. The successful candidate will be an organized, flexible, and proactive individual who is a team player with a positive “can-do” attitude. The person in this role is expected to act in a professional manner to all internal and external individuals. This role is a key contributor in helping the team perform at peak capacity and requires an analytical individual who is organized, resourceful and focused, as well as a creative problem solver.

Key Responsibilities:

Administrative - Provide general administrative support as needed, not limited to: ordering supplies and promotional materials, organizing inventory, newsletter production, ordering collateral materials and other coordination tasks as needed. Maintain marketing-related files and documents, ensuring that all materials are up-to-date and easily accessible. Monitor marketing email inbox.
RFPs - Track websites for A/E/C requests for proposals (RFP) on a weekly basis, support department with the production and submission of RFP responses, maintain a file library of all related materials for future reference.
CRM - Manage the company's CRM system and ensure that all data is accurate and up-to-date. Enter new leads and opportunities into the CRM system and support business development efforts. Create and distribute regular reports on CRM data and key performance metrics.
Scheduling - Support marketing and business development team by organizing schedules, setting up appointments, registering for diverse industry events, coordinating sponsorships and donations, and managing attendees for sponsored events.
Purchasing - Manage, process and document monthly expenses/transactions, including reconciliation of invoices, receipts, and payments relating to marketing and business development.
Events - Assist the Marketing Coordinator with planning and organizing company events and promotional activities (booking vendors, coordinating logistics, managing equipment rentals, track expenses, run reports, etc.). Occasional attendance and project site visits may be necessary for off-site events.

Qualifications:

Associates or Bachelor's degree in marketing, business administration, or a related field is preferred.
3+ years of proven experience as a marketing/admin assistant, executive assistant, or similar.
Experience working in the construction industry is a plus, but not required.
Excellent organizational skills, with the ability to prioritize tasks and work independently.
Strong verbal and written communication skills.
Ability to multitask and prioritize in a deadline-driven environment with great attention to detail.
Strong interpersonal skills and proven ability to work with cross-functional teams.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Experience with CRM system and other marketing software (Cosential, Mail Chimp, Monday.com etc.).
Knowledge of Adobe Creative Suite (Photoshop, InDesign) is a plus, but not required.
Event planning experience is a plus, but not required.
Must be able to lift up to 35 lbs.
