The Member Relations Coordinator serves as the primary advocate for the organization and its members, ensuring a positive and engaging membership experience.

ESSENTIAL FUNCTIONS:

By collaborating and collaborating closely with members and internal teams, the Coordinator ensures that a cohesive and integrated approach to member relations is met and that the overall member experience is continuously improved. The essential functions are divided into several areas of coordination, including membership program implementation, membership engagement, marketing resource management, stakeholder management, and administrative support.

Membership Program Implementation

Collaborates with others to develop and manage campaigns aimed at retaining and attracting members.
Oversees the member renewal and retention process, including the execution of measurable recruitment initiatives.
Develops and implements strategies to improve member retention and satisfaction.
Manages the new member experience by implementing effective on-boarding programs.
Partners with local components to coordinate and enhance the student member experience.
Supports the sustainability of local components by developing and executing volunteer leadership programs.
Develops, generates, and analyzes membership data to identify trends, and opportunities for improvement.
Maintains high standards in program delivery through the implementation of quality control measures.

Membership Engagement

Plans and executes a variety of member engagement activities, including meetings, workshops, webinars, and networking events.
Collaborates with others to develop and implement programs that enhance member involvement and satisfaction.
Engages members in advocacy efforts and assists Executive Director to conduct the initiatives of the advocacy program.
Coordinates and implements membership award processes to include New Dentist of the Year, Dentist of the Year, Senior Student Dental Awards, Leadership Awards, Fellowship, Mastership, and LLSR awards. This includes coordination of deadlines, volunteers and nominees, and any related material.

Marketing Resource Management:

Working with Marketing division, develops copy and coordinates the design of membership materials and other promotional efforts.
Ensures that all program materials are up-to-date and readily available to members and non-members.
Promotes membership through various communication channels to ensure maximum exposure and engagement.
Manages digital platforms utilized for program delivery.

Stakeholder Engagement:

Responds to program inquiries by phone, email, and in person, to provide information or feedback to stakeholders in a timely and professional manner.
Serves as main point of contact on all membership areas including membership committee, AGD, and prospective/current members.
Coordinates Pathway 2 Fellowship program and other identified membership programs.
Coordinates governance process, including updates and implementation of the Board of Directors leadership handbook, fulfillment of positions for committees and committee meetings, and board policies and bylaws.
Participates in team meetings and contributing ideas for enhancing the member experience.
Assists with special projects and initiatives as needed to support the organization’s goals.
Assists in identifying local members for attainment of Fellowship and Mastership.

Administrative Support:

Manages membership database process, ensuring membership records are up to date and accurate.
Remains fully knowledgeable of all Texas AGD programs, membership benefits, and dues structure to assist with general inquiries and promote membership.
Assists in the preparation of division’s budget by providing input, meeting budget expectations by optimizing cost efficiency while maintaining program quality and sustainability. Seeks opportunities for revenue generation and cost-saving initiatives.
Creates the quarterly membership dashboard report for board meetings. Reports member engagement and retention metrics to senior management.
Engages in the Universal Award Application (UAA) process with internal team.
Assists in the development of procedures to increase efficiency, reduce costs, facilitate communication, and ensure excellent customer service.
Develops, implements, and monitors systems and procedures necessary for the smooth operation of duties.
Coordinates input and maintains database maintenance files on all Texas AGD records, including hard copy file maintenance for position.
Collaborates with the entire team to execute success at programs to ensure that the organization's goals and objectives are effectively achieved.
Occasionally attends conferences and meetings necessary to promote education and membership.
Cross trains in other areas to ensure smooth operations.
Performs other administrative tasks as assigned.
Occasionally conducts special projects under the direction of management.
Performs other duties as assigned by management.

DESIRED TRAINING & SKILLS

Completion of High School and/or completion of college with an Associate’s degree or higher.
Bachelor’s degree and/or previous experience in business administration, project management, public relations, or marketing preferred.
2-3 years of strong experience working in program coordination, project coordination, administration, adult continuing education, or a similar role.
1-2 years of work experience in member relations, business to business relations, marketing, or communications.
1-3 years of experience working with a non-profit or professional membership organization preferred.
1-3 years of experience coordinating membership campaigns preferred.
Demonstrated experience in organizational and project management skills, including the ability to effectively analyze data, meet multiple deadlines, and maintain strategic direction of projects. Including evaluation of project and recommendations for improvement.
Strong working knowledge of Microsoft Office (Word, Excel, Outlook and PowerPoint), online applications like Google Documents, Constant Contacts and client management systems.
Excellent communication and interpersonal skills.
Ability to work independently with demonstrated ability to work in a hybrid-remote environment.
Strong ability to collaborate effectively with volunteer members and team members; must possess a service-oriented attitude.
Employee must be able to lift up to (40) lbs. and on occasion stand for long periods of time.

HOURS: This is a full time non-exempt position for 40 hours/week. Time and Travel Requirement: Successful candidate will need to be available for occasional evening and weekend work and may travel up to 5% of the time for onsite programs. This position is eligible as a hybrid-remote position, with about 80% of tasks conducted remotely.
